GDPR Compliance

Dynasend is a “multi-region” platform (USA & EU). Customers governed by GDPR will have their user data maintained exclusively on AWS servers located within the European Union - AWS EU West (Ireland).

To maximize performance, we keep a multi-region table to locate signatures across regions and serve them to Outlook from any region, with the actual signature content being cached globally and securely. The result is that user's Outlook experience (using the add-in) will have the exact same latency from anywhere in the world independent of their tenant's region of choice.

Dynasend processes personal data (name, job title, contact details, and signature assets) as a processor on behalf of your organization, which remains the controller. Processing is carried out to deliver the email signature service under your contract and documented instructions.

Data Processing Agreement (DPA)​

A Data Processing Agreement is available on request and forms part of our standard service terms for EU/UK customers. Contact support@digitechbranding.com to request a countersigned DPA.

Data subject rights​

End users should direct access, rectification, erasure, and portability requests to their employer (the data controller). Dynasend assists controllers in fulfilling requests that relate to data we process, typically within 30 days of a verified instruction.

GDPR Best Practices for Email Signature Providers

  • Hosting: EU-based servers or GDPR-compliant providers / Dynasend: AWS EU West (Ireland)

  • Data Residency: Clear policies about where data is stored / Dynasend: Yes, see our privacy policy

  • Email Content Access: Avoid reading or storing the email body itself / Dynasend: Zero access to your email, ever.

  • User Management: Secure authentication and access controls / Dynasend: Strict authentication enforced at all levels
